Handling complaints at the most polite and reasonable manner is very important for any business that wants to maintain its good relationship with its customers. Here is a statement of action letter from Customer Service on replying to a customer complaint letter. This is also commonly known as an adjustment letter.

Dear Miss Teague,

We are very sorry you are having difficulty with our product. We would like to assure you that we want to be of assistance.

We would like you to take note of the proper usage of said product on Page 5 of the instruction manual. The correct steps in opening the case of the said product is important to ensure good performance of the item. We recommend cleaning the item once a month to keep it free from lint, dust or any debris that may clog its parts.

If the results do not improve, you may take the product to our nearest retail center with the attached warranty and product code.

We are going to be have a Club meeting this Thursday May 20, 2010 at the Grand Philips Hall. We are going to discuss the details of the Eco-Care installations. 

The installations involved are :
bamboo windfarms,  recycled wind turbines, reuseable polymer tubes  

Please bring materials deemed "reuseable" to the meeting. I would suggest we find ways to recycle old appliances, gadgets and computers that are most likely taking up space at your homes.
